Executive Assistant
The Front Office SME Senior Administrative Specialist will provide high‑level support to senior leadership within the Office of Nuclear Energy, handling complex calendar management, interagency coordination, international travel and protocol, and front‑desk operations. This role requires exceptional organizational, analytical, and communication skills, the ability to work with sensitivity and discretion, and a continuous improvement mindset to refine processes and foster clear communications across programs and offices.

ESSENTIAL REQUIREMENTS
Must be US Citizen
Must be able to obtain and maintain the required customer badge for access to systems, facilities, equipment and property.
Must have excellent attention to detail and organizational skills
Must be proficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
A strong preference for candidates who have prior experience working in military or defense-related environments
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.
Provides SME senior administrative support services for the Front Office which includes the Office of Nuclear Energy (NE) Assistant Secretary, Principal Deputy Assistant Secretary, Chief of Staff, and Senior Advisors.
Provides subject matter expert guidance, analysis, and insight into specific subject areas relating to protocols concerning international visitors.
Provides analysis, evaluation, and recommendations for improvements in processes managing Interagency calendars and appointments.
SME level mission-critical proficiencies including involvement in international travel planning, and interagency coordination to ensure principal alignment in meeting time and scope.
Provides subject manager expertise in arranging calendars and ensuring the staff remain on schedule and apprised of updates.
Constant improvement of communication with the administrative assistants in the NE program offices in Forrestal and Germantown
Works with the Correspondence Control Center (CCC) providing analysis and evaluation of ways to facilitate packages and documents for concurrence and signature.
Provides subject matter expert management and implement Front Office functions including but not limited to:
Operates the front desk.
Answers the phone, take messages, and direct calls.
Prints and copies documents, as requested.
Schedules and book domestic and international travel.
Completes vouchers once travel has been completed.
Greet guests and visitors.
Keeps the front office clean and fully stocked with office supplies.
Picks up packages in accordance with DOE procedures and security measures.
Ensures continuous, full-time coverage of NE-1 Front Desk
EDUCATION / EXPERIENCE
Bachelor’s degree in a related field such as Business Administration or Office Administration, and minimum of three (3) years relevant experience and/or training, or equivalent combination of education/experience.
PHYSICAL DEMANDS
Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.

The estimated pay range for this role is $101K to $130K, with the final offer contingent on location, skillset, and experience.
