Administrative Assistant II will support the Health and Human Services (HHS), Office for Civil Rights (OCR) as an integral contributor to the success and performance of OCR and further OCR’s mission as described above thru various mission support activities.

ESSENTIAL REQUIREMENTS 

  • Must be able to obtain and maintain the required customer clearance for access to systems, facilities, equipment and property. 

  • Excellent organizational, written, and oral communication skills are required. 

  • Ability to work in a team or independently in a busy environment is required.

  • Ability to apply knowledge for setting up print jobs, scanning and proper document destruction. Including those requiring special setup of forms, fonts, signatures, merges.

  • Proficiency in using Microsoft Office Suite (i.e., Outlook, Word, Excel, PowerPoint, Access, Visio, etc.).

  • Ability to work and communicate effectively with all levels of management and coworkers, as well as a wide range of people with diverse backgrounds.

  • Ability to handle highly sensitive and confidential information with exceptional discretion.

  • Ability to manage multiple projects and priorities.

  • Excellent customer service skills with ability to apply good listening skills and to handle unusual or complex situations with a calm and focused approach.

  • Ability to produce quality work, meet critical deadlines and pay attention to detail in a fast-paced, demanding environment.

  • Ability to work independently and in a team environment.

KEY DUTIES AND RESPONSIBILITIES  

Essential Duties and responsibilities include the following.  Other duties may be assigned. 

  

  • Helps prepares and distributes reports or other communications on a regular schedule.   

  • Maintains files, databases, and archives of relevant records.  

  • Screens calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging.   

  • Schedules and coordinates meetings, travel, and other group activities.   

  • Takes meeting minutes and distributes them to relevant parties.   

  •  Helps organize office events and meetings, including logistical arrangements.   

  • Maintains confidentiality of sensitive information and ensures compliance with company policies.   

EDUCATION AND EXPERIENCE 

Minimum educational experience is an Associate’s degree from an accredited college/university or specialized experience equivalent to the GS-5   level or higher in the Federal Government.

PHYSICAL DEMANDS   

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.  Exposed to general office noise with computers printers and light traffic.

The estimated pay range for this role is $21.68 to $23.25, with the final offer contingent on location, skillset, and experience.
