SUMMARY

The Administrative Assistant III provides a broad range of services to a federal executive, the Assistant Secretary of the Office of Congressional and Intergovernmental Affairs (CI) at the Department of Energy (DOE).

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Assists the CI Federal Front Office and staff, with administrative tasks, to include the DOE Office of Congressional and Intergovernmental Affairs (CI) Assistant Secretary and Principal Deputy Assistant Secretary, and other senior leadership as necessary.

Responsible for Front Office operations to include scheduling for senior leadership; answering the phone; taking messages and directing calls and messages to the correct staff based on program assignments and responsibilities; checking shared electronic mail inboxes and directing messages to appropriate staff based on responsibilities; printing and copying documents

Duties include greeting guests and visitors, keeping the front office clean and fully stocked with office supplies, picking up packages and facilitating the staff remaining on schedule.

Conducts constant communication with administrative assistants in other DOE organizations.

Supports the Assistant Secretary (AS) and Principal Deputy Assistant Secretary (PDAS) in Congressional briefing preparation, presentation and speech development, and produces briefing memos for the Secretary, Deputy Secretary, Under Secretary and Department of Energy senior leadership.

Schedules, advances and staffs the Assistant Secretary and Principal Deputy Assistant Secretary for meetings and events.

Manages a demanding domestic and international travel schedule including scheduling, booking travel, and completing vouchers upon completion of travel.

Assists with screening meeting requests and working with the AS and PDAS to determine which meetings to schedule or delegate.

Performs a wide range of support services as an Administrative Assistant III to the CI Front Office at the client site. 

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and co-workers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions as the best of own ability.

EDUCATION/EXPERIENCE

Bachelor’s degree and a minimum of five (5) years’ support experience in a professional business environment, or equivalent combination of education / experience.

Analytical abilities

Operational knowledge of standard office practices and procedures

Ability to compose correspondence from draft to final version, both electronic and hard copy

Knowledgeable and proficient in the use of the English language as to professional business grammar, spelling, punctuation and capitalization in the preparation of correspondence, reports and presentations

Excellent verbal and written communication skills

Excellent customer service skills

Ability to work effectively both individually and in a team environment

Proficient in the use of standard office equipment such as computers, typewriters, copiers, fax machines, telephone systems and office automation systems

Skilled proficiency in the use of eDocs and GovTrip

Skilled proficiency in the use of Microsoft Windows and Office Suite (i.e., Word, Excel, Outlook, PowerPoint, etc.) 

LANGUAGE SKILLS

Ability to read and comprehend instructions, correspondence and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
