SUMMARY

The Administrative Specialist provides administrative support and technical assistance to the (FHCB) Financial Human Capital Branch by coordinate meeting schedules, draft agendas and correspondence. Prepares complex briefings using Microsoft Power Point, Excel and Word, track HCB projects to align with the National Coordinator’s priorities and President’s Management Agenda (PMA). Supports a variety of projects to streamline and improve the functions of FHCB. Possesses a relevant knowledge of administrative functions of a federal operations office.

ESSENTIAL REQUIREMENTS

Must be able to obtain a government security clearance for access to facilities, equipment and property.

KEY DUTIES AND RESPONSIBILITIES
Essential Duties and responsibilities include the following.  Other duties may be assigned.

Prepares complex briefings using Microsoft Power Point, Excel and Word.

Tracks HCB projects to align with the National Coordinator’s priorities and President’s Management Agenda (PMA).

Develops presentations that visually illustrate data and summaries of Human Capital projects.

Maintains meeting agendas and notes.

Keeps a detailed calendar of HCB activities.

Develops draft project plans using Excel or MS Project.

Sets up file storage for documentation collaboration.

Organizes electronic documents in a logical system to streamline sharing with other ONC offices.

Supports a variety of projects to streamline and improve the functions of FHCD.

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.  

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

EDUCATION AND EXPERIENCE

Associate's degree and a minimum of 3 years relevant experience or, equivalent combination of education/experience. 

JOB SPECIFIC KNOWLEDGE/SKILLS/ABILITIES

Familiarity with the Department of Health and Human Services is desirable, but not a requirement.

LANGUAGE SKILLS

Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.

PHYSICAL DEMANDS

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.  Exposed to general office noise with computers printers and light traffic.
