The Executive Assistant III provides high-level executive administrative and operational support to senior leadership. This position is critical to the smooth functioning of the front office and requires a poised, proactive, and highly organized professional who thrives in a fast-paced, protocol-driven environment. The Executive Assistant III manages complex calendars, ensures efficient coordination of internal and external engagements, tracks critical taskers, and exercises sound judgment in handling sensitive matters. The successful candidate will demonstrate superior communication, multitasking, and organizational skills, and be trusted to represent senior leadership in a polished and professional manner.

ESSENTIAL REQUIREMENTS  

Must possess and maintain an active Secret security clearance and be eligible for access to classified information at the Secret level. Must demonstrate exceptional discretion, judgment, and professionalism. 

Must have excellent attention to detail and strong organizational and time-management skills. 

Must have advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). 

Must be able to operate independently, handle competing priorities, and meet tight deadlines in a dynamic environment. 

Prior experience supporting senior government executives or equivalent leadership is strongly preferred. 

 

KEY DUTIES AND RESPONSIBILITIES

Provides dedicated executive-level administrative support, managing daily operations with a high degree of autonomy and professionalism. 

Maintains and deconflicts complex executive calendars, coordinate meetings and speaking engagements, and provide printed and digital schedule updates throughout the day. 

Serves as the lead point of contact for organizing engagements, including office calls, briefings, interviews, internal coordination meetings, and external stakeholder sessions. 

Drafts, edits, and formats official correspondence, welcome letters, recognition notes, talking points, and other documentation in accordance with Army formatting standards (e.g., AR 25-50). 

Coordinates visitor access requests, welcome packages, and sponsorship oversight for incoming personnel; support in-processing activities. 

Assists with the onboarding of new staff by coordinating orientation logistics, preparing materials, scheduling initial meetings, and ensuring proper documentation is completed. 

Leads logistical preparations for key meetings and events, including preparation of read-ahead materials, printing slide decks, and managing conference room reservations. 

Serves as liaison for public affairs coordination and photo documentation of notable events. 

Maintains and updates executive tools such as leader trackers, key contact lists, alert rosters, and shared calendars. 

Manages incoming calls, record important information, and facilitate timely responses or redirection to appropriate personnel. 

Tracks and monitors administrative taskings, action items, and follow-ups across the office. 

Plans and coordinates internal milestones such as retirements, farewells, and staff recognition events, ensuring professional execution. 

Oversees general office operations, including maintenance requests, burn bag rotations, supply inventory, and workspace setup. 

Collaborates with internal divisions and external partners to ensure alignment and support for executive objectives and initiatives. 

Steps in to coordinate and delegate meetings during leadership absences, ensuring continuity of office operations. 

Supports executive travel planning and coordination, including preparation of travel authorizations and vouchers through the Defense Travel System (DTS) and managing APACS requests. 

Contribute to the development and maintenance of standard operating procedures (SOPs), workflows, and process maps. 

 

EDUCATION AND EXPERIENCE 

Bachelor’s degree and four to seven (4-7) years relevant experience and/or training, or equivalent combination of education/experience. 

  

Preferred: Minimum of five (5) years of experience supporting senior executives in a federal, military, or similar environment. 

 

PHYSICAL DEMANDS 

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.  Exposed to general office noise with computers printers and light traffic.
