SUMMARY

The Administrative Assistant I performs a variety of tasks for the Department of Transportation (DOT), Pipeline and Hazardous Materials Safety Administration (PHMSA) contract. This position is an entry-level support position generally assigned to support PHMSA in basic administrative support tasks and must be able to independently carry out recurring office procedures. The Administrative Assistant I is generally assigned to support general staff positions in PHMSA Headquarters or PHMSA regional offices.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Supports PHMSA in basic, entry-level administrative support tasks.

Independently carries out recurring office procedures.

Supports general staff positions in PHMSA Headquarters, or PHMSA regional offices.

Writes, proofreads and edits government or other types of documents for clarity of expression, orderly composition and good use of the English language.

Demonstrates general knowledge of office management and experience in supporting tracking control systems and databases.

Displays excellent verbal and written communication skills.

Responsible for aiding in own self-development by being available and receptive to any training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION / EXPERIENCE REQUIRED

High School Diploma or General Education Degree (GED) and a minimum of one (1) year of experience working in an office environment with typing skill sets on computer systems used for word processing, presentation development and simple spreadsheets such as MS Word and Windows.

CERTIFICATES / LICENSES / REGISTRATION

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

Ability to enter and extract information from designated Government database programs

Ability to format and produce high quality and error free documents in response to program requirements

Proficient experience in Microsoft applications (Word, Excel, etc.)

Strong communication skills, both oral and written

Ability to transcribe and edit documents

Analytic, organizational and time management skills

Ability to work independently and in a collaborative team environment consisting of a diverse population

Excellent customer service skills with ability to apply good listening skills

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-one-one and small group situations to customers, clients and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
