The Emergency Management Specialist I provides support to the Physical Security and Emergency Management (PSEM), Real Estate, Logistics and Operations Portfolio (RLO), Program Support Center (PSC). This position works closely with the Physical Security and Emergency Management (PSEM) office to provide emergency management support for selection, requirements definitions, statements of work (SOW), and evaluations of an emergency management solution. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following.  Other duties may be assigned.

Participates in all project meetings with critical partners and key stakeholders.

 

Coordinates with all operating and staff divisions throughout the department.

 

Assists in developing all project documentation.

 

Assists in developing concept of operations, policy documents, and standard operating procedures for the emergency notification system.

 

Develops communications to notify all operating and staff divisions of implementation of the emergency notification system.

 

Manages the day-to-day operations for the system once the system is acquired, to include, updating employee data in the system, uploading emergency notification messages, recording voice messages if required, sending out emergency notification messages, and communicating and coordinating with all system administrators.

 

Conducts testing of the emergency notification system as required.

 

Participates in quarterly meetings with all system administrators.

 

Coordinates with key stakeholders to update the current emergency notification system.

 

Prepares a bi-weekly presentation to brief leadership of project status, issues, timeline, etc.

 

Maintains a solid customer relationship, and assures customer satisfaction with the successful execution of the project.

Interfaces with internal project teams, management, customers and suppliers.  Maintains timely communications, and develops collaborative rapports with solutions-oriented approaches.

 

Communicates project plans, objectives, timelines, schedules, job assignments, responsibilities and reporting relationships.

 

Sets, manages and communicates project expectations to team members and stakeholders.

 

Ensures staffing levels / skills are appropriate for the project scope and deliverables. Actively participates in the hiring of new and replacement project staff.  Provides performance assessments and feedback to employees.

 

Tracks project milestones and deliverables.

 

Collects and disseminates performance information, such as project review data, status reports, progress measurement and forecasting. 

 

Responsible for aiding in own self-development by being available and receptive to any training made available by the company.

 

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize output.

 

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers.  Will report any unsafe conditions and/or practices to the appropriate supervisor and Human Resources.  Will immediately correct any unsafe conditions as the best of own ability.

 

EDUCATION/EXPERIENCE

Bachelor’s degree or equivalent and two (2) years of experience; or equivalent combination of education and experience.

 

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

Advanced computer knowledge with skilled proficiency using Microsoft Office programs (i.e., Word, Excel, PowerPoint, Outlook, etc.)

Knowledge of the principles, methods, practices, and techniques of written and verbal communication.

Skill in communication techniques to gather and disseminate information and communicate problems and results.

Ability to work well with others and manage multiple tasks, with good organizational skills.

Ability to effectively present information and respond to questions from individuals or groups including managers, staff, vendors, and other contractors
