SUMMARY

The General Clerk provides reception and administrative support in non-direct patient care areas and various departments of a medical treatment facility, major command or Air Force staff office.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following.  Other duties may be assigned.

Greets customers/visitors at a front desk, information center or other office setting.

 

Answers main office phone line. Directs telephone calls to appropriate section for assistance.

 

Takes messages as required and relay messages to staff.

 

Arranges and schedules meetings for customers and staff members as required.

 

Obtains, updates and files departmental records/reports. Ensure completeness, accuracy, and consistency within established guidelines.

 

Enter data from various sources (reports, equipment displays, printouts, forms, etc.) into the appropriate computer system. Print reports at a required interval as directed by staff.

 

Files, retrieves, and collates documentation as requested by staff.

 

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

 

Plans daily activities within the guidelines of company policy, job description and supervisor’s instruction in such a way as to maximize personal output. 

 

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers.  Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources.  Will immediately correct any unsafe conditions to the best of own ability.

 

EDUCATION / EXPERIENCE

High school diploma or general education degree (GED) and a minimum of six months’ relevant experience in a medical office, or equivalent combination of education / experience.  Basic medical terminology preferred.  Must be able to correctly type 50 WPM.

CERTIFICATES / LICENSES / REGISTRATION

Must maintain current certification with either the American Heart Association Basic Life Support (BLS) or the American Red Cross CPR/BLS (Heart Saver) Course.  On-Line courses are not acceptable.

 

The following immunizations are required, with accompanying proof copies of such records, prior to an offer of employment.  The responsibility of purchasing these immunizations and/or gathering these records is the responsibility of each interested candidate.

  • Hep A
  • Hep B (3-shot series for immunity)
  • MMR
  • Varicella
  • Tdap
  • Negative TB Skin Test within the past 12 months (or clear chest x-ray if have a history of positive skin test)
  • Poliovirus

 

* Must have accompanying proof copies of such records.  Purchasing of immunizations and/or gathering of personal records is the responsibility of the employee.

 

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

General telephone etiquette, and excellent communication and customer service skills.

General office administrative and clerical skills to perform receptionist duties and answer telephones.

Operational knowledge of Microsoft Office (Word, Excel PowerPoint, etc.)

Fluency in the English language with ability to correctly apply standard practices of grammar, spelling, punctuation and capitalization

Excellent verbal and written communication skills with ability to prepare a variety of written documents such as correspondence, reports, etc.

Ability to operate standard office equipment such as computers, typewriters, copiers, fax machines, telephone systems and office automations systems

Ability to use Military Filing System (i.e., sponsor social security number, terminal digit order, color- coded and blocked filing system)

Ability to effectively work both independently and in a team environment
